1. Scope
This Privacy Policy applies to the FlowLogix website, web application, iPhone application, and related FlowLogix services. FlowLogix is designed for authorized business users such as manufacturers, representatives, distributors, contractors, project teams, and technical personnel.
Some information in FlowLogix belongs to or is provided on behalf of a user's employer, customer, project owner, or other organization. In those situations, that organization may separately determine how its business information is used and who is authorized to access it.
2. Information we process
Depending on your role and the FlowLogix features you use, we may process the following categories of information:
- Account and identity information: name, email address or username, organization, role, business unit, permissions, account status, and authentication or security information.
- Project and business information: project names and numbers, project contacts, drawings, fixture schedules, fixture and device information, quotes, bills of material, purchase-order and shipment information, installation records, notes, files, photos, and other content submitted by authorized users.
- Installation and hardware information: DCS and related device identifiers such as MAC addresses, device assignments, relay and zone mappings, fixture mappings, binding or installation status, technical readings, and troubleshooting information.
- Support and communications: questions submitted to FlowLogix, Hadley or Harper requests, support messages, invitation and security emails, and other communications related to the service.
- Technical and security information: IP address, user agent, session and authentication events, request identifiers, timestamps, error information, and logs used to operate, secure, troubleshoot, and improve FlowLogix.
FlowLogix does not use the mobile app for third-party advertising and does not sell personal information for advertising purposes.
3. How we use information
We use information to provide and secure the FlowLogix service, including to:
- authenticate users and enforce organization, role, and project permissions;
- display and manage authorized projects, drawings, files, fixture information, installation workflows, training, shipping, RGA, and other business functions;
- support field installation, hardware identification, DCS/device binding, wiring guidance, and technical troubleshooting;
- provide Hadley, Harper, fixture intelligence, and other AI-assisted technical features when those features are used;
- send account, security, workflow, project, and support communications;
- prevent abuse, investigate security events, maintain auditability, diagnose errors, and protect FlowLogix and its users;
- maintain, improve, and develop FlowLogix features and workflows.
4. AI-assisted features
FlowLogix includes AI-assisted features such as Hadley, Harper, and fixture intelligence. When an authorized user uses an AI-assisted feature, the user's question and relevant technical or project context may be sent to an AI service provider, including OpenAI, to generate a response, analyze a fixture, or support technical research.
FlowLogix limits the context sent to what is reasonably relevant to the requested feature. Users may choose not to use AI-assisted features and can continue using other available FlowLogix functionality.
AI-generated technical guidance is advisory. Users remain responsible for following project documents, manufacturer instructions, applicable codes, safety requirements, and qualified professional judgment.
6. iPhone permissions and device access
The FlowLogix iPhone app may request access to protected device capabilities only when a feature needs them:
- Bluetooth: to discover, identify, connect to, bind, read, or test authorized lighting-control hardware during installation.
- Camera: to scan supported device labels or codes and, where a feature allows it, capture user-selected project or support content.
- Location: only when an authorized feature explicitly needs location, such as synchronizing supported astronomical time/location settings.
- Face ID: to unlock a registered FlowLogix mobile session using Apple's local authentication services.
You can manage system permissions at any time in iOS Settings. Disabling a permission may prevent the related feature from working, but does not prevent use of unrelated FlowLogix features.
8. Retention and deletion
We retain information for as long as reasonably necessary to provide FlowLogix, maintain project and business records, meet contractual or legal obligations, resolve disputes, enforce agreements, and protect the security and integrity of the service.
Retention periods vary by data type and business context. For example, project records may need to remain available to authorized organizations after an individual user's access ends. Security and audit records may be retained for an appropriate period to investigate incidents and maintain accountability.
When information is no longer required, we may delete, de-identify, or securely archive it as appropriate. A deletion request may be limited where information must be retained for legal, contractual, security, fraud-prevention, backup, or legitimate business-record purposes.
9. Security
FlowLogix uses administrative, technical, and organizational safeguards intended to protect information. These include role- and organization-based access controls, authenticated sessions, transport security, password protection, multi-factor authentication capabilities, revocable sessions, and security logging.
No system can guarantee absolute security. Users are responsible for protecting their credentials, devices, and access to their FlowLogix accounts.
10. Children
FlowLogix is a business and professional application and is not directed to children. We do not knowingly design the service to collect personal information from children for consumer use.
11. International processing
FlowLogix and its service providers may process information in the United States and other locations where they operate. Where required, we use appropriate measures for cross-border processing and expect service providers to protect information consistent with this policy and applicable requirements.
12. Your privacy choices
Subject to your organization's rights and applicable law, you may request access to, correction of, or deletion of personal information associated with your FlowLogix account. You may also ask questions about how your information is used.
You can revoke iPhone permissions through iOS Settings and can choose not to use optional AI-assisted features. If your FlowLogix access is provided by an employer or another organization, certain requests concerning project or business records may need to be handled through that organization.
Email privacy@flowlogix.io with the email address associated with your FlowLogix account and enough information for us to identify the request. Do not include passwords, authentication codes, or other secrets.
13. Changes to this policy
We may update this Privacy Policy as FlowLogix changes. The current version will be posted at this URL with an updated effective or revision date. Material changes may also be communicated through the service or other appropriate channels.
